Event lighting is temporary on purpose
The distinction is worth making: one is installed, the other is set up. Weddings, receptions, celebrations: set up for the date and removed after. That changes everything about how it gets planned, starting with the fact that there is no second chance at it.That single fact drives the rest of it. An installation is judged over years. An event is judged once, in one evening. So the planning front loads, the what ifs get covered, and nothing important gets left to the day itself.
The date does not move
With an installation, a delay is an inconvenience. With an event, a delay is a failure. That means planning happens further ahead than the job size suggests. Even a modest setup involves a visit, a plan and scheduled labor, and none of them compress.
What actually causes problems
The most common outdoor event problem is not design, it is electricity. Where the power comes from, how far it has to travel, and how the cable is managed are questions worth settling early. A beautiful plan with no way to power it is a drawing.Tell the lighting company about the band, the caterer and the photographer, since all of them want power and floor space too.
Weather has a vote
An outdoor date carries

Ask early: what changes if it rains. Having an answer already agreed means the day is manageable either way.
Where to put the effort
Two categories: mood and function. Atmosphere lives overhead and at the focal point. Function covers paths, level changes and exits, and it only gets noticed when it is missing. Both need to be in the plan. Only one of them gets remembered fondly.
Who else needs to agree
Venues have rules, and finding them out late is expensive. Access windows, load in times, attachment restrictions, and the strike deadline belong to the property. Getting those two parties connected up front prevents the usual scramble.
Scale
Planning an event, more feels safer. Dark surroundings lower the threshold, so a plan that seems thin in daylight is usually right. Contrast carries the atmosphere. Even brightness makes it look like a work site. A designer who says the plan is already enough is doing you a favor.
